Define Special Education view preferences

You can adjust the default values for student status codes, IEPClosed Individualized Education Program status codes, and IEP meeting type codes used in the Special Education view. For example, you can define that the status used for active special education students is Active.

You can also determine the process users follow to enter IEP progress reports.

To define Special Education view preferences:

  1. Log on to the Special Education view.
  2. Click the Admin tab.
  3. Click the Preferences side-tab. The Preferences page appears:

  2. Note: You create these codes in the appropriate reference tables.

    Select the codes or defaults you want to use at each field.

    Address to print on forms

    Click the drop-down to select one of the following:

    • District
    • School

    Default FTEClosed full-time equivalent Calendar

    Type the name of the default FTE calendar.

    Independent Contact Type

    Click the drop-down to select one of the following:

    • Independent Contact
    • Student

    Enable progress posting

    Select this checkbox if you want users to post progress information for their students. Progress posting allows special education managers to track the progress reports that have not been completed using the Progress Post Verification report.

    Note: After a user posts a progress report, it cannot be edited; only a special education manager can edit or remove a posted report. This way, special education managers can run the Progress Post Verification report to view a list of progress reports that need to be completed before being sent.

    Disable workflowClosed a method of coordinating multi-step processes involving one or more users date defaults

    Select this checkbox if you do not want dates to automatically populate in the phases of special education workflows. This allows users to manually enter dates for the phases.

    Allow service change

    Select this checkbox to allow all users who have access to IEPs to change services on active IEPs without creating an amendment. This allows users to edit services from the IEP tab, Services side-tab.

    Manage Special Education Globally

    Select this checkbox to manage Special Education from the Special Education's District (Organization) view only.

    IEP Acceptance Email Text

    The default text from the notification email sent to the district, the student’s IEP team, and current teachers when the student’s IEP becomes active or an existing IEP is amended appears here. Type any necessary changes.  

    The two tokens – [school_district] and [student_name] – are replaced with the district’s and student’s names when the email message is created.

    If you change the email text here, use a <br> tag to add line breaks.

    Default IEP definition

    Click the drop-down to select the IEP definition to be used as the default.

    IEP status codes

    1 - Draft

    2 - Active

    3 - Previous

    4 - Amended

    5 - Rejected

    6 - Amendment Draft

    7 - Rejected Amendment

    8 - Discarded

    9 - Pending Approval

    Type the display value for each of the IEP status codes. These values should match your district and states terminology requirements.

    For example, if you refer to a Draft IEP as an In Progress IEP, type In Progress for 1 - Draft.

    IEP meeting type codes

    1 - Initial

    2 - Review

    3 - Amendment

    4 - Re-evaluation

    5 - Other

    Type the display value for each of the IEP meeting type codes.

    For example, if you refer to the Review IEP meeting as the Annual IEP, type Annual IEP for  2 - Review.
